Privacy Policy

How Delta T Heating & Cooling collects, uses, shares, and protects your information — and the choices you have about it.

Delta T Heating & Cooling (“Delta T Heating & Cooling,” “we,” “us,” or “our”) operates this website at deltatkc.com and provides residential and light- commercial HVAC, plumbing, water-heater, indoor-air-quality, and related home-services in the Greater Kansas City metro area, including Kansas and Missouri.

This Privacy Policy explains what personal information we collect, how we use it, when and with whom we share it, your choices and rights, and how to contact us. It applies to information collected through this website, our phone lines, our text and email communications, and our in-home and on-site service visits. Effective June 22, 2026.

1. Information we collect

1.1 Information you give us directly

  • Contact information — name, phone, email, service address.
  • Service details — equipment type, age, brand, symptoms, scheduling preferences, photos or files you upload (for example, a competitor's quote you send through our Free 2nd Opinion form).
  • Payment and financing information when you elect to pay or finance through us. Payment card numbers are processed by our payment processor and are never stored on our servers; financing applications are handled by Service Finance Company under their own privacy practices.
  • Communications — the content of your text messages, emails, voice mails, and the call recordings of any calls you place to us (call recordings are made for quality, training, and service-history purposes, and you will be notified at the start of the call).

1.2 Information we collect automatically

  • Usage and device information — IP address, browser type and version, operating system, screen size, pages viewed, time on page, referring URL, and approximate location derived from IP.
  • Cookies and similar technologies — see Section 6.
  • Call-tracking metadata — when you call a number that we route through our call-tracking provider (currently WhatConverts), we collect the calling number, call duration, source attribution (which page or campaign the call came from), and a call recording per Section 1.1.

1.3 Information from other sources

We may receive information about you from public sources (for example, Google Business Profile reviews you post), from property managers, landlords, or homeowners who request service on your behalf, and from our service providers (for example, a scheduling platform).

2. How we use your information

We use the information described above to:

  • Schedule, dispatch, perform, and follow up on your service or installation.
  • Communicate with you about a service request, an appointment, a quote, an estimate, financing, a warranty claim, or a billing question.
  • Provide the Free 2nd Opinion review service when you submit a quote you received elsewhere.
  • Improve our website, our marketing, and our service operations (including by analyzing aggregated traffic patterns).
  • Send you transactional messages (appointment confirmations and reminders) and, only if you opt in, occasional service or maintenance reminders.
  • Detect, prevent, and respond to fraud, abuse, security incidents, and other unlawful activity, and to enforce our Terms of Service.
  • Comply with our legal obligations and respond to lawful requests.

We do not use your personal information to make automated decisions that produce legal or similarly significant effects about you.

3. When and with whom we share your information

We share personal information with the following categories of recipients:

  • Service providers acting on our behalf — including hosting and security providers (Cloudflare and AWS), our call-tracking provider (WhatConverts), our email-delivery providers, our scheduling and customer-relationship platforms, our payment processors, our financing partner (Service Finance Company), and our analytics providers (Google Analytics and Google Search Console). Each is bound by contract to use your information only for the purposes we direct.
  • Equipment manufacturers and warranty administrators when registering your new system for the manufacturer warranty (for example, registering a Lennox unit through Dave Lennox Premier Dealer channels).
  • Professional advisers — our lawyers, accountants, and insurers — where reasonably necessary.
  • Authorities and other third parties when required by law, court order, subpoena, or governmental request; or where we believe in good faith that disclosure is necessary to protect our rights, your safety, the safety of others, or the security of our website or services.
  • Successors in the event of a merger, acquisition, financing, reorganization, bankruptcy, or sale of our assets.

We do not sell your personal information. We do not share it for cross-context behavioral advertising, except as you may have separately consented through a cookie-banner choice (see Section 6).

4. Text messaging and TCPA / A2P 10DLC consent

If and when we offer text messaging, we will only send texts to phone numbers that have affirmatively opted in to receive them — either by checking a clearly-labeled opt-in box on a form, by texting a keyword to our short or long code, or by any other method that constitutes prior express written consent under the Telephone Consumer Protection Act (TCPA) and the wireless carriers' A2P 10DLC requirements.

When you opt in, we will tell you the purpose of the messages, the approximate message frequency, and that message and data rates may apply. To opt out at any time, reply STOP to any text from us; for help, reply HELP or contact us at the phone or email in Section 12. Wireless carriers are not liable for delayed or undelivered messages. Your opt-in is not a condition of purchasing any service.

Note: as of the effective date above, our A2P 10DLC brand and campaign registration is in progress. Until that registration is complete, we do not send marketing texts. If you reach us by text, an individual team member may reply manually from a personal line; that reply is not a marketing campaign.

5. AI-assisted content and automated tools

We use artificial-intelligence tools to help us write portions of the educational and marketing content on this website (for example, draft answers to common questions), to triage email and form submissions, and to summarize call recordings for internal quality and training purposes. All AI-generated content on this site is reviewed by a human team member before publication, and any specific technical or pricing recommendation we make to you is reviewed by a licensed professional engineer (Adam Golubski or Andy Mitchell) or a licensed technician.

AI-generated text is informational and is not a substitute for an on-site assessment or a formal quote. We do not use any AI tool to make automated decisions that produce legal or similarly significant effects about you. AI tools we use receive only the information necessary to perform their task and are bound by the same service-provider obligations described in Section 3.

6. Cookies, analytics, and ad pixels

We and our analytics and advertising providers use cookies, pixels, web beacons, and similar technologies to operate this site, measure how visitors use it, and (where you have consented or where applicable law permits) deliver relevant advertising. The categories we use:

  • Strictly necessary cookies that keep the site secure, the shopping/booking flow functional, and the page rendered correctly. These are set regardless of consent.
  • Analytics cookies (Google Analytics 4, Google Search Console) that help us understand which pages perform and where visitors encounter friction.
  • Advertising pixels (Google Ads, Meta) that help us measure the effectiveness of our ads and remarket where permitted.

You can refuse non-essential cookies through the cookie banner on your first visit, through your browser settings, or by sending us a request under Section 7. We honor the Global Privacy Control (GPC) signal as a Do-Not-Sell-or-Share request for California residents.

7. Your privacy rights

Some of you have privacy rights granted by your state of residence. We honor these rights regardless of where you live, but the specific rights below come from the laws named.

7.1 California (CCPA / CPRA)

California residents have the right to (i) know what personal information we have collected, used, and disclosed about them; (ii) request a copy or deletion of that information; (iii) correct inaccurate information; (iv) opt out of sale or sharing for cross-context behavioral advertising; and (v) limit our use of sensitive personal information. We do not sell personal information; our “Do Not Sell or Share My Personal Information” choice is below.

7.2 Virginia, Colorado, Connecticut, Utah, and other state laws

Residents of Virginia (VCDPA), Colorado (CPA), Connecticut (CTDPA), Utah (UCPA), and any other state with an analogous law in effect at the time you submit a request have the right to access, correct, delete, and obtain a portable copy of their personal information, and to opt out of targeted advertising and the sale of personal information.

7.3 How to exercise your rights

Submit a request by emailing [email protected] with the subject line “Privacy Request” and a description of the right you wish to exercise. We will verify your identity before we act on the request — for most requests this means confirming details only you would know about your account or service history. You may also designate an authorized agent in writing. We respond within the timeline required by your state's law, generally 45 days. We will not retaliate against you for exercising these rights.

7.4 Your Privacy Choices — Do Not Sell or Share My Personal Information

We do not sell personal information for money, and we do not share it for cross-context behavioral advertising in the way CPRA defines “sharing.” The categories of personal information we collect are limited to what you submit through our forms (name, phone, email, service address, and the details of your request) and standard site-usage data collected through Google Analytics and Google Tag Manager. We do not use call-tracking or dynamic number insertion at this time.

You can exercise your right to opt out of any future sale or sharing, and your rights to know, delete, and correct your information, at no cost and without discrimination in the price or quality of service you receive:

  • On this site: use the cookie banner shown on your first visit to decline analytics and advertising cookies, or update your choice any time by clearing your browser's site data for deltatkc.com and reloading the page.
  • Automatically: if your browser or an extension sends the Global Privacy Control (GPC) signal, we treat it as a valid opt-out request and apply it without you needing to do anything further.
  • By request: email [email protected] per Section 7.3 above.

8. Data security and retention

We use reasonable administrative, physical, and technical safeguards designed to protect the personal information we hold — including TLS-encrypted transmission of form data, access controls on our customer-records systems, and ongoing employee training. No method of transmission or storage is 100% secure, however, and we cannot guarantee absolute security.

We retain personal information for as long as it is necessary to provide our services, comply with our legal obligations (including tax, warranty, and accounting record- keeping), resolve disputes, and enforce our agreements. Call recordings are typically retained for up to twelve (12) months. We will delete or de-identify personal information when retention is no longer required, or upon a verified deletion request under Section 7.

9. Children

Our services are directed to property owners and managers. This site is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will delete it promptly.

This site contains links to third-party websites (for example, our financing partner, the Lennox dealer locator, our reviews on Google, and our profiles on Facebook, Instagram, and LinkedIn). We are not responsible for the privacy practices or content of those third-party sites. Their privacy policies will apply when you leave our site.

11. Changes to this policy

We may update this Privacy Policy from time to time. The “last updated” date at the bottom of this page will always reflect the most recent revision. If we make a material change, we will give appropriate notice — for example, a banner on this site or an email to customers with an active service request.
